Event Type: Corporate Technical Summit (first-time event)
Audience: Sales teams, software trainers, and technical staff (approx. 450 attendees)
Format: In-person
Role: Conference Management & Strategic Planning
Timeline: 6-week planning window
An established software company identified a need for a dedicated technical summit to bring together sales teams, trainers, and programmers for in-depth learning and collaboration. While the organization had strong internal expertise, this was their first time hosting an event of this kind, and both stakeholder expectations and attendee response were unknowns.
Complicating matters, the internal planning team was newly formed, and the timeline from contract to event was just six weeks—requiring rapid decision-making, clear structure, and close coordination across multiple teams.
My role focused on quickly establishing a planning framework that balanced structure with flexibility, allowing the internal team to move forward confidently despite the compressed timeline.
Key areas of support included:
Throughout the process, the focus remained on clarity, communication, and attendee experience—especially for participants attending a conference of this type for the first time.
Despite the challenges inherent in launching a first-time event on a condensed timeline, the summit delivered a smooth and engaging experience for attendees. Feedback highlighted the quality of the sessions, the thoughtful approach to meals and logistics, and the value of connecting in person with colleagues who had previously interacted only remotely.
The success of the inaugural summit led the organization to establish the event as an annual program, with attendance growing year over year.
