This national association serves a broad and diverse membership and values creating events that feel welcoming and usable for all attendees. While inclusion had long been part of their organizational culture, they recognized that accessibility considerations had not been fully integrated into their event planning processes. As an existing client, these conversations had surfaced organically during standard planning discussions.
As we entered a new planning cycle, the organization engaged me to help assess what could realistically be improved for the upcoming event—given an already-contracted venue and a fixed budget—while also laying groundwork for more robust accessibility planning in future years.
The focus was on practical, thoughtful adjustments that enhanced the attendee experience without requiring major structural or financial changes.
Key actions included:
In the first year, the organization was able to implement multiple accessibility-focused improvements without increasing costs or disrupting the experience for other attendees. The changes were well-integrated, practical, and largely behind the scenes—enhancing comfort and clarity rather than calling attention to themselves.
Equally important, we established a clear framework for future planning cycles. The client left the event with documented recommendations, budget considerations, and concrete talking points to support continued improvements in subsequent years.
